Your Final Wedding Venue Meeting: What to Expect

As your wedding day gets closer, your final venue meeting is where all the details you’ve been planning start coming together. Your vendors are booked, your guest count is taking shape and you have a much better idea of what your wedding day will actually look like.

At The Heartland Lodge, this meeting is all about finalizing the venue logistics.


What Should You Bring?

Always be sure to include your coordinator with the scheduling of this meeting so that they can be present with you. This allows us to work through venue logistics and make sure they align with the overall wedding-day plan.

You don’t need every small detail figured out before your meeting, but the more information you have, the more we can finalize.

Your coordinator will come with your most up to date timeline and vendor list. Be prepared to give your estimated or final guest count, room layout requests, and any questions you still have.

Finalizing Your Layout

Your guest count plays a big role in your final ceremony and reception layouts.

We’ll talk through where your tables will go and where you’d like important reception elements such as your head or sweetheart table, DJ, cake or dessert, guest book, gifts and catering setup.

We want the room to look great, but we also want it to function well for your guests and vendors throughout the evening.

Timeline & Vendor Details

We’ll review the major points of your wedding-day timeline, including wedding party arrival times, ceremony, cocktail hour, dinner and reception events.

We’ll also discuss and any setup needs you or your vendors may have. This is a good time to make sure venue requirements, including vendor Certificates of Insurance when applicable, are being handled before wedding day.

Having these details ahead of time helps everyone know when they can arrive, where they need to go and what to expect when they get here.

Décor & Setup Plans

We’ll go over all the decor rentals you’re using from The Heartland Lodge.

Having a clear décor plan before wedding day makes setup much easier for your coordinator and helps our team make sure you have everything you need.

Ceremony & Bar Plans

Your ceremony deserves just as much logistical planning as your reception.

We’ll confirm your ceremony location, Plan B, seating and any special details we need to know.

If you’re planning amplified ceremony audio, we recommend handheld wireless microphones rather than lapel microphones, as we’ve found them to be more reliable on the property.

We’ll also finalize your bar selections and service plans so you know exactly what to expect throughout the evening. Pre-ceremony drinks can be purchased ahead of time for the bridal suite and cabin. Otherwise, bar service will follow the plans established for your wedding after the ceremony.

What About Plan B?

Even if the forecast looks perfect, we always want a backup ceremony plan in place.

Depending on your wedding setup and guest count, Plan B at The Heartland Lodge may include an Oscar-style ceremony, partial room flip or full room flip. A full room flip requires additional labor and staffing, so an additional fee applies.

We’ll talk through those options ahead of time so if Plan B becomes necessary, you aren’t trying to make a brand-new plan right before your ceremony.

Getting Everyone on the Same Page

The goal of your final venue meeting is simple: make sure the details are decided, the logistics make sense and everyone knows the plan.

By the time wedding day arrives, our team already knows how your ceremony, reception, vendors, décor and timeline are supposed to come together. That means fewer questions for you on wedding day and more time to actually enjoy it.
