What Your Caterer Needs to Know Before Working at The Heartland Lodge
Choosing your caterer is about more than deciding what will be served for dinner. Your catering team is one of the vendors working behind the scenes for a large portion of your wedding day, from setup and dinner service to clearing tables and cleaning the kitchen at the end of the night.
At The Heartland Lodge, we require full-service catering and have procedures in place to make sure your catering team knows exactly what is expected while working in the space.
If you're getting married at The Heartland Lodge, here are some of the most important things your caterer should know before wedding day.
Make Sure Your Caterer Is Approved
Before working at The Heartland Lodge, all catering companies are required to provide a copy of their business license and current valid insurance.
Your caterer should also receive and review our current catering procedures before the wedding. Even if they've worked at The Heartland Lodge before, it's always a good idea to review the most current information before arriving.
Plan Ahead for Catering Tables & Linens
The Heartland Lodge provides 8-foot rectangular tables for catering use, with two typically planned for food service. Your caterer should confirm their specific table needs ahead of time.
Catering companies are responsible for bringing full-length linens for their catering tables. If they aren't provided, linens can be rented from The Heartland Lodge for $25 each, with the rental charged to the client.
This may seem like a small detail, but catering tables are still visible within your reception space. Full-length linens help everything look finished and consistent with the rest of the room.
Understand What Full-Service Catering Means
All weddings at The Heartland Lodge require full-service catering.
That means your caterer isn't simply delivering food and leaving. The catering team is responsible for everything food related throughout the event, including replenishing a buffet, serving plated meals when applicable and bussing food from guest tables.
When you're comparing caterers, make sure the company you're considering provides the staffing necessary to stay through dinner service and complete these responsibilities.
Keep Food Preparation Behind the Scenes
Our catering kitchen is there to give your catering team a dedicated space to work throughout the event.
Any food or dessert that needs to be prepared, cut or plated should be handled in the kitchen rather than in the reception hall. This includes cutting wedding cake, pie or other served desserts. Once prepared, plated desserts can then be brought into the reception hall for guests.
Self-serve desserts can be set out separately during setup.
Keeping this work in the kitchen allows the reception space to stay focused on your guests while the catering team handles the behind-the-scenes work.
Know Who Is Handling Beverages
Water service is always provided by The Heartland Lodge, and some events may also include self-serve tea and lemonade.
Your caterer should confirm ahead of time whether they're responsible for any additional non-alcoholic beverages. Alcohol service, when applicable, is always provided by The Heartland Lodge.
Knowing who is responsible for what before wedding day helps prevent duplicated purchases or last-minute questions.
Keep Guest Areas Guest-Friendly
There is a lot happening behind the scenes during dinner, but your guests shouldn't necessarily see all of it.
The wheeled trash cans in the kitchen need to remain there rather than being brought into the reception hall. Caterers may use a bus tub along the outskirts of the room as long as bussing can be done discreetly without disrupting guests while they're dining.
It's one of the small ways we protect the overall experience and appearance of the reception while still allowing the catering team to do their job efficiently.
Leave the Kitchen Ready for the Next Event
At the end of the night, the catering team's responsibilities aren't quite finished.
The Heartland Lodge provides the cleaning supplies needed to clean the catering kitchen. Caterers are responsible for wiping down counters, cleaning the refrigerator and mopping the floor before leaving.
Catering is also responsible for taking designated kitchen and reception trash to the dumpster at the top of the hill.
Before leaving, the catering team checks out with The Heartland Lodge venue coordinator. Our team inspects the kitchen and signs off on the catering checklist once everything has been completed. Following these procedures helps ensure the couple receives their catering deposit back in full.
