There are a lot of people working behind the scenes on a wedding day, and it’s not always clear who is responsible for what.
Your venue manager, wedding coordinator, and vendor team all play important roles, but those roles are different. Knowing who handles each part of the day can help prevent things from getting missed and make wedding week a whole lot easier.
Your Venue Manager
A venue manager’s main responsibility is everything related to the venue itself.
They know the property, policies, included amenities, setup requirements, and how events typically flow through the space. They may help with things like venue access, tables and chairs, layouts, ceremony and reception spaces, bar logistics, and venue-specific questions.
Your venue coordinator is an important resource, but they are not necessarily replacing a wedding coordinator. Their role is primarily focused on the venue and the responsibilities included in your venue package.
Your Wedding Coordinator
Your wedding coordinator is focused on the wedding as a whole.
Depending on the level of service you book, they may help manage your overall timeline, communicate with vendors, direct the rehearsal, coordinate setup, keep the wedding party on schedule, oversee important moments throughout the day, troubleshoot problems, and make sure all of the different pieces come together.
While your venue manager is focused on what is happening within the venue, your wedding coordinator is typically looking at the bigger picture and managing the many people involved in making the day happen.
Your Vendors
Each vendor is responsible for successfully executing the service you hired them to provide.
Your photographer manages photography and your photo timeline. Your DJ or entertainment team handles music, announcements, and audio. Your caterer manages food service. Your florist handles your floral arrangements and any setup included in their contract.
They’ll work alongside your coordinator and venue team, but each vendor has their own responsibilities, arrival times, setup needs, and contracted services.
Why the Difference Matters
One of the easiest ways for wedding-day details to fall through the cracks is when everyone assumes someone else is handling them.
Before your wedding, make sure you understand exactly what is included with your venue, coordinator, and individual vendor contracts. If something isn’t clearly assigned to someone, ask about it before the wedding day.
A strong wedding-day team isn’t about having multiple people doing the same job. It’s about having the right people handling the right things and working together.
