What Does Plan B Actually Look Like?
When planning an outdoor wedding ceremony, one of the most important things to consider is what happens if the weather doesn't cooperate.
Rain, extreme temperatures, or unexpected weather conditions can all impact your ceremony plans. While no couple wants to think about moving their ceremony indoors, having a backup plan in place can make the decision much easier if the time comes.
At The Heartland Lodge, couples have three indoor ceremony options, each offering a different layout, level of preparation, and timeline for making the final decision.
Here's what you should know about each option.
Option 1: Oscar Style Ceremony
An Oscar Style ceremony allows guests to remain seated at their reception tables during the ceremony rather than using a separate ceremony seating arrangement.
The ceremony takes place at a designated focal point within the reception space, with tables arranged to give guests a view of the couple exchanging vows.
One of the biggest advantages of this option is that no room flip is required (with the exception of a head or sweetheart table). The reception space is already set, allowing guests to transition directly into the celebration without moving furniture or rearranging the room.
This option is especially convenient for couples who want to keep their outdoor ceremony plans as long as possible.
When do you need to decide?
An Oscar Style ceremony can be a wedding-day decision. If the forecast is uncertain, you have more flexibility to wait and see how the weather develops before making the call to move indoors.
Option 2: Partial Room Flip
A partial room flip offers a more traditional ceremony arrangement while still allowing much of the reception space to be prepared in advance.
For this setup, a portion of the reception hall is arranged with ceremony seating. Meanwhile, reception tables are already decorated and staged off to the side of the room.
Once the ceremony ends and guests transition to cocktail hour, the venue team moves the remaining reception tables into their designated positions.
This allows couples to have a separate ceremony seating arrangement without requiring the entire reception hall to be transformed.
For a partial room flip, your guest count cannot exceed 200 guests.
When do you need to decide?
A partial room flip needs to be confirmed 24–48 hours before the wedding. This gives the team time to prepare the layout, coordinate setup, and ensure everything is ready for both the ceremony and reception.
Option 3: Full Room Flip
For couples who want the most traditional indoor ceremony setup, a full room flip offers the opportunity to use the reception hall entirely for the ceremony before transforming it for dinner and dancing.
The space is initially arranged with ceremony seating, creating a dedicated setting for exchanging vows.
After the ceremony, guests transition to cocktail hour while the venue team removes ceremony chairs, rearranges the room, sets reception tables, and prepares the space for the remainder of the celebration.
Because this transformation requires significantly more labor, coordination, and additional staffing, The Heartland Lodge charges an additional fee for a full room flip.
When do you need to decide?
A full room flip must be confirmed at least one to two weeks before the wedding. This allows enough time to arrange the additional staff and prepare for the larger transition between ceremony and reception.
Which Indoor Ceremony Option Is Right for You?
The best option depends on your guest count, preferred ceremony layout, budget, and how much flexibility you want when watching the weather forecast.
If you want to wait until the wedding day to make your final decision, Oscar Style offers the most flexibility.
If having traditional ceremony seating is important, a partial or full room flip may be a better fit, but both require an earlier commitment.
During your planning meetings at The Heartland Lodge, we'll discuss these options and help you understand how each would work with your wedding-day timeline and reception layout.
A Backup Plan You Can Feel Good About
An outdoor ceremony may be your first choice, but your indoor ceremony should still feel thoughtfully planned.
Having a clear Plan B means knowing where your guests will sit, how your ceremony will look, what happens after the ceremony, and when the final weather decision needs to be made.
At The Heartland Lodge, we're here to help you prepare for those possibilities well before your wedding day.
That way, if the weather changes, you're not starting from scratch. You're simply moving forward with a plan that's already in place.
