10 Questions Couples Forget to Ask During a Wedding Venue Tour

Touring wedding venues is exciting, but it can also be a lot to take in. You’re looking at ceremony spaces, imagining your tables filled with guests and trying to decide if you can picture yourself getting married there.

But while you’re taking everything in, there are some important questions that are easy to forget.

The rental price and available dates are only the beginning. The answers to these questions can make a big difference in your planning experience, your overall wedding budget and how smoothly your wedding day actually runs.

Here are 10 questions we recommend asking before choosing your wedding venue.

1. What is actually included in the venue rental?

This should be one of your first questions because every venue structures its pricing differently.

Ask specifically about tables, chairs, linens, décor, setup, tear down, ceremony spaces, getting-ready areas and coordination. A venue with a lower starting price may require you to bring in several of these things separately.

2. How long do we have access to the venue?

Don’t only ask when your ceremony can begin. Find out when you can arrive, when vendors can begin setup and when everything needs to be out at the end of the night.

A short rental window can affect everything from hair and makeup to decorating and vendor arrival times.

3. Who handles setup and tear down?

Those beautiful tables and décor pieces still have to get from boxes to their final places - and then come back down at the end of the night.

Ask exactly what the venue handles, what your vendors are responsible for and what falls on you or your family.

Knowing this ahead of time can save you from realizing a few weeks before the wedding that you need to recruit family members or hire additional help.

4. Is there a rain plan, and do we actually like it?

If you're considering an outdoor ceremony, don't tour only with the perfect-weather version of your wedding in mind.

Ask to see the actual backup ceremony space.

Would you still be happy getting married there? How quickly can the venue make the switch? Who makes the weather call? What happens to the reception setup if the ceremony has to move indoors?

A rain plan should feel like another good option, not an emergency backup you’re hoping you never have to use.

5. Is wedding coordination included?

The word "coordinator" can mean very different things depending on the venue.

Ask whether someone will help with your timeline, communicate with vendors, direct the ceremony and manage the flow of the wedding day - or if the venue representative is primarily responsible for the building itself.

6. What are the bar requirements?

Bar policies can have a major impact on your final budget.

Ask whether alcohol must be purchased through the venue, whether there are minimums, what packages are available, how bartending is handled and whether there are additional service charges.

This is also a good time to ask when bar service can begin and whether there are any restrictions surrounding where alcohol can be served.

7. Are there vendor restrictions or additional requirements?

Some venues require couples to choose from a preferred vendor list, while others allow outside vendors but have specific requirements.

Ask about catering, DJs, photographers, florists and any other vendors you're considering. You should also find out whether vendors need to provide insurance or a Certificate of Insurance before the wedding.

Knowing these requirements early makes vendor shopping much easier.

8. What décor can we use - and what is already available?

Before you start purchasing candles, signs, easels, table numbers and other décor, find out what the venue already owns.

A venue décor inventory can save you both money and storage space leading up to the wedding.

You'll also want to ask about restrictions involving candles, hanging installations, confetti, sparklers and anything else you may be envisioning.

9. Where will everyone be throughout the entire day?

Think beyond the ceremony and reception.

Where will each partner get ready? Where will guests go between the ceremony and reception? Where will cocktail hour happen? Is there shade outside? Where will vendors eat? Is there enough room for your guest count to move comfortably through the space?

A venue can photograph beautifully and still not function well for the way you want your wedding day to flow.

10. What expenses should we expect beyond the venue price?

This may be the most important question on the list.

Ask the venue to walk you through the expenses couples commonly pay in addition to the advertised rental price.

That might include linens, chairs, coordination, staffing, security, cleaning, setup and tear down, bar service, décor rentals, additional hours or other required services.

When comparing venues, compare the total wedding experience, not just the number at the top of the pricing guide.
